KC Clean Trade Co., Ltd. (“the Company” or “we”) values your personal data. This policy explains what data we collect, why we collect it, how long we keep it, who we share it with, and what rights you have, under the Personal Data Protection Act B.E. 2562 (2019) (PDPA)
This policy applies to the website www.kccleantrade.com and to communications between you and the Company via phone, email, LINE, and other channels listed in this policy

The Company has not appointed a Data Protection Officer (DPO), as its activities do not meet the legal threshold requiring one. You can contact us about personal data matters through the channels listed above. If the Company appoints a DPO in the future, contact details will be posted on this page.
2. What data we collect
2.1 Data you provide directly
When you fill out the Get a Quote form on the website, or contact us by email, phone, or LINE
- First and last name of the contact person
- Name of the company or organization you belong to, and job title (if provided)
- Phone number, email, LINE ID
- Address or site location where service is requested
- Details of the work required, such as type of work, area size, frequency, budget, and preferred time
- Any other message you type in
2.2 Data generated while you are a Client
- Details of your on-site coordinating contact (name, phone number)
- Work records, delivery reports, issue reports, and follow-up records
- Commercial and accounting documents such as quotations, purchase orders, invoices, receipts, and tax invoices
- Before-and-after site photos used as proof of work delivery. These photos may unintentionally include people — see Section 6 on how photos are used
2.3 Data generated automatically when you visit the website
- IP address, device and browser type, date and time of access, and pages viewed. This data is recorded by the server provider’s system as standard practice, for system security
- Cookies necessary for the website to function — see Section 7
2.4 Data we do not collect
- This website has no membership system, no shopping cart, and no online payment system. We therefore do not collect passwords, credit card numbers, or payment information through the website
- We do not intend to collect sensitive data under Section 26 of the PDPA (such as religion, health data, criminal records, or biometric data) through the channels in this policy. Please do not enter such data in our forms or send it to us. If you send it unnecessarily, we will delete it once found
Note for job applicants and employees: This policy does not cover data of the Company’s job applicants and employees, which is subject to a separate privacy notice from the HR department

If you do not provide data: Contact details and site information are necessary for quotations and Services. Without them, we cannot assess the job, provide a quotation, or carry out the work for you.
4. How long we keep data

Once the retention period ends, we will delete, destroy, or de-identify the data, unless retention is necessary for legal proceedings or compliance with the law.
5. Who we share your data with
We do not sell, exchange, or rent your personal data to others. We disclose data only as necessary to the following groups
- The Company’s employees and supervisors who need the data to carry out work for you
- Subcontractors or specialists assigned by the Company to carry out certain work, disclosed only to the extent necessary and bound to confidentiality
- System service providers such as web hosting, email, and backup service providers
- The Company’s accounting firm, auditors, and legal advisors
- Government agencies such as the Revenue Department, or as required by law or court order
Cross-border data transfer: If the system service providers we use have servers located abroad, your data may be stored outside Thailand. We will select providers with adequate data protection standards as required by law.
6. Use of site photos
The Company takes before-and-after site photos as proof of work delivery to the client.
If the Company wishes to publish site photos on the website, promotional materials, or presentation documents, the Company will always ask the client’s permission first and will
- Not disclose the client’s name, logo, or identifying information unless written permission is given
- Blur or crop out faces, license plates, and contact information that appear in the images
If you find a photo identifying you or your organization on the Company’s media and wish to have it removed, contact admin@kccleantrade.com. We will act on this promptly.
7. Cookies
This website uses cookies only as necessary for basic functions, such as remembering display settings and securing forms. This type of cookie is not used to track your behavior for advertising and cannot be disabled while the website still functions normally.
The website currently does not use third-party behavioral tracking tools such as Google Analytics or Facebook Pixel. If the Company installs such tools in the future, we will update this policy and obtain your consent beforehand.
If any page of the website embeds a map or video from an external provider, that provider may set its own cookies, which are governed by that provider’s own policy.
You can delete or disable cookies through your own browser settings.
8. Your rights
Under the PDPA, you have the following rights

How to exercise your rights: Send your request to admin@kccleantrade.com or Call 096-663-3181, stating your name, the channel you previously used to contact us, and the right you wish to exercise. We may request identity verification documents to protect your own data.
We will act without delay, and within 30 days of receiving the request at the latest. Exercising your rights is free of charge. In certain cases we may refuse a request as permitted by law, and we will notify you of the reason in writing.
9. Data security
The Company maintains reasonable security measures, such as limiting data access to those who need it, using passwords for internal systems, encrypting website connections, and backing up data.
In the event of a personal data breach that poses a risk to your rights and freedoms, the Company will notify the Office of the Personal Data Protection Committee within 72 hours where feasible, and will notify you along with remedial measures if the incident poses a high risk to you.
10. Changes to this policy
The Company may update this policy from time to time. The latest version will be posted on this page along with the update date. For material changes, we will notify you through appropriate channels.
